These terms explain the booking, payment, cancellation and travel conditions that apply to journeys arranged by Swornim Tours & Travel Pvt. Ltd.
Booking & Payment
A booking becomes confirmed once we receive the required deposit and confirmation from the client.
A 30% deposit is normally required at the time of booking. Some hotels, airlines, permits, special activities or tailor-made trips may require a different deposit.
The remaining balance must be paid according to the payment schedule provided with your booking.
For international or multi-country trips, different payment deadlines may apply because of airline, hotel, visa and supplier requirements.
Prices & What Is Included
The price of your trip will be clearly stated in the quotation or booking confirmation.
The quotation will specify the services included, such as accommodation, transportation, meals, guides, permits or other arrangements.
Personal expenses, travel insurance, visa fees, extra meals, drinks, tips and services not mentioned in the quotation are normally not included.
Prices may change before confirmation if there are significant changes in supplier rates, government taxes, fuel costs or exchange rates.
Cancellation by the Client
If you need to cancel your trip, please inform us as early as possible.
The refund will depend on the date of cancellation and the cancellation conditions of the hotels, airlines, permits and other suppliers involved in your booking.
Some deposits and services may be non-refundable.
For specially arranged, peak-season, group, trekking, expedition or tailor-made trips, separate cancellation conditions may apply.
The applicable cancellation conditions will be explained at the time of booking.
Changes After Booking
If you want to change your travel dates, hotel, itinerary, passenger name or other arrangements after confirmation, we will do our best to assist.
Changes depend on availability and supplier rules. Any additional charges, cancellation fees or price differences will be payable by the client.
Cancellation or Changes by Swornim
In unusual circumstances, Swornim may need to change or cancel part of a trip.
If this happens for reasons within our control, we will try to provide a suitable alternative or refund the affected service, depending on the circumstances.
If changes are caused by circumstances outside our control, the Force Majeure section of these terms will apply.
Events Beyond Our Control
Travel can sometimes be affected by events that nobody can reasonably prevent, including:
- Earthquakes, floods, landslides and severe weather
- Flight or road disruptions
- Strikes or transport interruptions
- Government restrictions or travel bans
- Political disturbances or security situations
- Epidemics or other major health emergencies
- Border closures or changes in entry regulations
In these situations, we will make reasonable efforts to arrange an alternative solution.
Any refund will depend on the amounts that can be recovered from airlines, hotels, transport companies and other suppliers. Additional costs caused by such events may be payable by the client.
Flights & Travel Delays
Flights in Nepal, particularly flights to mountain destinations such as Lukla and Jomsom, may be affected by weather and operational conditions.
If a flight is delayed or cancelled, Swornim will assist with available alternatives, including rebooking, road transportation or helicopter arrangements where possible.
Additional costs for alternative transportation, accommodation or meals are normally the responsibility of the client unless specifically included in the booking.
Passports, Visas & Travel Documents
Clients are responsible for having a valid passport, visa and other required travel documents.
We can provide general assistance and information regarding visas and travel requirements, but the final responsibility for obtaining the correct documents remains with the traveler.
Swornim cannot guarantee visa approval or entry into another country.
Travelers should check the current requirements for every country included in their itinerary before departure.
Health, Fitness & Safety
Clients should make sure that they are physically and medically able to participate in their chosen trip or activity.
For trekking, high-altitude travel and adventure activities, clients should carefully consider the physical requirements.
Clients should inform Swornim in advance about any medical condition, allergy, disability or special requirement that may affect their participation or safety.
For certain activities, a medical certificate or additional safety requirements may be requested.
Travel Insurance
We strongly recommend that every traveler has comprehensive travel insurance.
Insurance should ideally cover:
- Trip cancellation or interruption
- Medical treatment
- Emergency evacuation
- Flight delays and missed connections
- Lost or damaged baggage
- Other unexpected travel expenses
Swornim is not responsible for costs that could reasonably be covered by the client's travel insurance.
Hotels & Accommodation
We select hotels and accommodation according to the category and standard agreed in the booking.
Accommodation standards can vary between destinations, particularly in remote mountain and rural areas.
If a booked hotel becomes unavailable, Swornim may arrange a suitable alternative of a similar standard whenever possible.
Any difference in price will be discussed with the client.
Third-Party Services
Swornim works with airlines, hotels, transport companies, guides, trekking operators, helicopter companies and other service providers.
We carefully select our partners, but services are ultimately subject to the rules and operating conditions of those providers.
Where a third-party service is cancelled, delayed or changed, we will assist the client as much as reasonably possible.
Supplier cancellation charges may apply.
Itinerary Changes
Travel conditions in Nepal and neighboring destinations can change.
The itinerary may need to be adjusted because of weather, road conditions, flight schedules, local conditions, safety requirements or other circumstances.
Our priority will always be the safety and practical comfort of our travelers.
We will discuss significant changes with clients whenever circumstances allow.
Personal Belongings & Luggage
Travelers are responsible for their personal belongings, passports, money, electronic devices and luggage.
Clients should take reasonable care of their valuables and use appropriate travel insurance.
Swornim is not responsible for loss, theft or damage caused by circumstances outside our reasonable control or by third-party service providers.
Responsible Travel & Code of Conduct
We ask all travelers to respect local people, culture, traditions, religious places, guides, drivers, hotel staff and fellow travelers.
Violent, abusive, threatening, discriminatory or seriously disruptive behavior will not be accepted.
If a client's behavior creates a serious safety risk or affects other travelers, Swornim or the trip leader may take appropriate action, including ending the client's participation in the trip.
No refund will normally be provided for services missed because of such behavior.
Special Requests & Children
We are happy to consider special requests such as dietary requirements, room preferences, celebrations and other arrangements.
Please tell us about special requests when making your booking. We will try our best to arrange them, but they cannot be guaranteed unless confirmed in writing.
Children and minors may be subject to specific hotel, airline, trekking or activity requirements. Minors may need to travel with a parent or legal guardian and carry the required documents.
Photography & Use of Images
During trips, photographs and videos may sometimes be taken for normal travel and promotional purposes.
We respect the privacy of our clients. If you do not wish your identifiable photograph or video to be used for Swornim's marketing, please inform us.
We will make reasonable efforts to respect such requests.
Complaints & Problem Resolution
If you experience a problem during your trip, please tell your guide, tour leader or Swornim representative as soon as possible.
Giving us the opportunity to address a problem while you are traveling usually allows us to find a solution quickly.
If the matter cannot be resolved during the trip, you may submit a written complaint to Swornim after returning home.
Adventure & High-Risk Activities
Trekking, mountaineering, rafting, paragliding, helicopter flights and other adventure activities involve certain risks.
Clients should understand these risks before participating.
Some activities may require additional forms, medical information, safety instructions or liability waivers.
Participation may be refused where a service provider or safety professional considers it unsafe.
Legal & General Conditions
These Terms & Conditions are governed by the laws of Nepal.
Any dispute relating to a booking or service provided by Swornim Tours & Travel Pvt. Ltd. will first be addressed through discussion and reasonable efforts to reach a solution.
If a matter cannot be resolved amicably, it will be subject to the applicable laws and jurisdiction of Kathmandu, Nepal.
Swornim reserves the right to update these Terms & Conditions from time to time. The conditions applicable to a confirmed booking will be those communicated to the client at the time of confirmation, subject to applicable law.
Please carefully review the booking, payment, cancellation and supplier-specific conditions applicable to your particular trip.
